Privacy Policy

This Privacy Policy explains how Scanners Tally Ltd ("we", "us") collects, uses, stores, and shares personal data when you use the Scanners Tally app and website (the "Service"). We take privacy seriously and only collect what we need to provide the Service.
1. Data We Collect
Account & profile data
- Email address (used to sign in and to contact you).
- Name, and if you provide them, company name and phone number.
- Region/country (you select this, or we infer it from your email domain) to determine pricing, season limits, and formatting.
- Authentication credentials. If you sign in with Google or Apple, we receive your name and email from that provider; passwords for email sign-in are handled by our authentication provider and are not visible to us.
Client data you enter
- Details of your farming clients that you choose to record: name, email, phone number, physical address, and free-form notes.
- You are responsible for this data and confirm you have a lawful basis to enter it (see our Terms of Service).
Scanning & operational data
- Seasons you create (name, year, start/end dates, notes).
- Scanning tallies and metrics (for example dry, single, twin, triplet, early/late counts, totals and percentages), animal identifiers, and per-entry notes and timestamps.
- Reports you generate (stored as PDF files) and a log of reports emailed to recipients, including recipient email addresses, any message you add, and email delivery/bounce status.
Location data
- Approximate (coarse) device location, captured only when you actively choose to fill in a client's location. It is stored as that client's address and is not collected in the background or used for tracking.
Billing & subscription data
- Subscription status, plan, and billing period. Payments are processed by Stripe (web) or by Apple / Google (in-app). We store identifiers and status from these providers but do not store full card or payment-method details on our own servers.
- For web subscriptions, billing address and postal/region details are provided directly to Stripe.
Technical & sync data
- Session tokens, app version, and sync metadata (which records changed and when) needed to keep your data synced and the app working offline.
2. How We Use Your Data
- Provide your account, store your scanning history, and sync data across your devices (including offline use).
- Generate lambing & calving expectation summaries and reports, and email those reports to recipients you choose.
- Send you notifications relevant to your use of the app, such as report delivery and bounce alerts.
- Process subscriptions, billing, and related account management.
- Maintain, secure, and improve the reliability and performance of the Service.
- Produce anonymised, aggregated metrics for comparative and localised performance analysis. Anonymised data that does not identify you or your clients may be made available to third parties.
3. How Data Is Stored
- We use trusted third-party database infrastructure providers to host and store data and files.
- Data is encrypted in transit and at rest, and backed up to a separate geographic location on a regular basis.
- Some data is also stored locally on your device to support offline use.
4. Third Parties We Share Data With
We share data only with service providers needed to run the Service:
- Supabase — hosting, authentication, database, and file storage.
- Stripe — payment processing for web subscriptions.
- RevenueCat, Apple, and Google — in-app purchase and subscription management on mobile.
- Google and Apple — sign-in (OAuth) if you choose those methods.
- Email delivery provider — to send reports and account emails to the recipients you specify.
- Address lookup provider (Addy Solutions, New Zealand) — to suggest addresses as you type; search queries are not stored long-term.
We do not sell your personal data. We may disclose data where required by law.
5. Data Retention & Deletion
You can request deletion of your account at any time. When you do, your personal profile information is deleted promptly. However, scanning data, client records, seasons, and reports created in the app may be retained in de-associated form (no longer linked to your account) so that the affected clients can continue to access records created on their behalf. Backups are purged on a rolling schedule.
6. Your Rights
Depending on your jurisdiction, you may have rights to access, correct, export, or delete your personal data, and to object to or restrict certain processing. To exercise these rights, contact us via the contact form and select the privacy option.
7. Children
The Service is intended for business use by adults and is not directed at children. We do not knowingly collect personal data from children.
8. Changes to This Policy
We may update this Policy from time to time. Material changes will be communicated via the app or website. Continued use after the effective date constitutes acceptance.
